Job Summary:

CLINIQUE DE PEDIATRIE DU SAGUENAY is currently seeking an organized and detail-oriented Administrative Officer to join our team. As an Administrative Officer, you will be responsible for providing administrative support to the clinic, ensuring smooth operations and efficient communication. Your strong organizational skills, attention to detail, and ability to handle multiple tasks will contribute to the overall effectiveness of our clinic.

Responsibilities:

  • Provide administrative support to the clinic’s management team and staff.
  • Coordinate and schedule appointments, meetings, and conferences.
  • Maintain and update patient records and files accurately and confidentially.
  • Respond to inquiries from patients, families, and staff members promptly and professionally.
  • Assist with billing and invoicing processes, ensuring accuracy and compliance with regulations.
  • Prepare and distribute correspondence, memos, and other documents.
  • Create and maintain efficient filing systems, both physical and electronic.
  • Coordinate the ordering and maintenance of office supplies and equipment.
  • Prepare reports and presentations as required.
  • Assist with the recruitment and onboarding of new staff members.
  • Collaborate with internal departments and external stakeholders to ensure effective communication and coordination.
  • Adhere to all privacy and confidentiality regulations, protecting patient information at all times.
  • Support the implementation of clinic policies and procedures.

Requirements:

  • Previous experience in an administrative role, preferably in a healthcare setting.
  • Proficient computer skills, including knowledge of Microsoft Office Suite.
  • Strong organizational and time management skills.
  • Excellent attention to detail and accuracy in data entry and record-keeping.
  • Effective verbal and written communication skills in English and French.
  • Ability to multitask and prioritize tasks in a fast-paced environment.
  • Strong problem-solving and decision-making abilities.
  • Professional and friendly demeanor with a customer service-oriented approach.
  • Familiarity with medical terminology and knowledge of healthcare regulations is an asset.
  • Diploma or degree in administration or a related field is preferred.
