Job Summary:

We are currently seeking a detail-oriented and organized individual to join our team as a Document Administrator in the United Kingdom. This position offers a work permit for eligible candidates. As a Document Administrator, you will be responsible for managing and organizing various types of documents, ensuring their accuracy, accessibility, and compliance with internal procedures and regulatory requirements.

Responsibilities:

  1. Receive, review, and process incoming documents, such as contracts, forms, reports, and correspondence.
  2. Create and maintain electronic and physical filing systems to organize and store documents.
  3. Ensure the accuracy and completeness of documents by verifying information and performing quality checks.
  4. Index and categorize documents for easy retrieval using appropriate naming conventions and metadata.
  5. Maintain confidentiality and data privacy standards when handling sensitive or confidential documents.

Qualifications and Skills:

  1. Previous experience as a Document Administrator, Document Controller, or in a similar role is preferred.
  2. Strong attention to detail and organizational skills to manage and maintain accurate document records.
  3. Proficiency in using document management systems and software applications.
  4. Excellent computer skills, including knowledge of Microsoft Office Suite (Word, Excel, PowerPoint) and file sharing platforms.
  5. Understanding of document control principles, including version control, document naming conventions, and document lifecycle management.
  6. Knowledge of regulatory requirements related to document management, data privacy, and record retention is advantageous.
  7. Ability to work independently, prioritize tasks, and meet deadlines in a fast-paced environment.
  8. Strong communication and interpersonal skills to interact with internal stakeholders at all levels.
  9. Flexibility to adapt to changing requirements and handle multiple document management tasks simultaneously.
