Job Summary:
We are currently seeking a detail-oriented and organized individual to join our team as a Document Administrator in the United Kingdom. This position offers a work permit for eligible candidates. As a Document Administrator, you will be responsible for managing and organizing various types of documents, ensuring their accuracy, accessibility, and compliance with internal procedures and regulatory requirements.
Responsibilities:
- Receive, review, and process incoming documents, such as contracts, forms, reports, and correspondence.
- Create and maintain electronic and physical filing systems to organize and store documents.
- Ensure the accuracy and completeness of documents by verifying information and performing quality checks.
- Index and categorize documents for easy retrieval using appropriate naming conventions and metadata.
- Maintain confidentiality and data privacy standards when handling sensitive or confidential documents.
- Collaborate with internal teams to collect and compile necessary documents for audits, inspections, or legal proceedings.
- Assist with document version control, tracking revisions, and maintaining document change logs.
- Provide support in the creation and formatting of documents, including proofreading and editing as needed.
- Respond to document requests and inquiries from internal stakeholders in a timely and professional manner.
- Adhere to company policies, procedures, and regulatory guidelines related to document management.
Qualifications and Skills:
- Previous experience as a Document Administrator, Document Controller, or in a similar role is preferred.
- Strong attention to detail and organizational skills to manage and maintain accurate document records.
- Proficiency in using document management systems and software applications.
- Excellent computer skills, including knowledge of Microsoft Office Suite (Word, Excel, PowerPoint) and file sharing platforms.
- Understanding of document control principles, including version control, document naming conventions, and document lifecycle management.
- Knowledge of regulatory requirements related to document management, data privacy, and record retention is advantageous.
- Ability to work independently, prioritize tasks, and meet deadlines in a fast-paced environment.
- Strong communication and interpersonal skills to interact with internal stakeholders at all levels.
- Flexibility to adapt to changing requirements and handle multiple document management tasks simultaneously.
