Responsibilities:
- Provide comprehensive and confidential administrative support to the management team, including diary management, arranging meetings, and coordinating appointments.
- Manage and prioritize incoming communications (emails, phone calls, etc.) and respond or redirect them as appropriate.
- Prepare correspondence, reports, presentations, and other documents as required, ensuring accuracy and adherence to organizational standards.
- Maintain accurate records, databases, and filing systems, both electronic and physical.
- Organize and coordinate travel arrangements, including booking accommodation and transportation for the team.
- Assist in the preparation and coordination of meetings, conferences, and events, including collating agenda items, preparing meeting materials, and taking minutes.
- Support the management team in monitoring and tracking project activities, deadlines, and deliverables.
- Liaise with internal and external stakeholders, including colleagues, partners, and service users, to facilitate effective communication and information sharing.
- Undertake research and gather information to support the team in decision-making and problem-solving.
- Handle confidential and sensitive information with discretion and maintain a high level of confidentiality at all times.
Requirements:
- Previous experience as a Personal Assistant or in a similar administrative role is preferred.
- Excellent organizational and time management skills, with the ability to multitask and prioritize effectively in a fast-paced environment.
- Strong written and verbal communication skills, with the ability to compose and edit correspondence and documents accurately.
- Proficiency in using Microsoft Office suite (Word, Excel, PowerPoint, Outlook) and other relevant software and tools.
- High attention to detail and a commitment to delivering work to a high standard.
- Strong interpersonal skills, with the ability to build positive working relationships with colleagues and stakeholders at all levels.
- Discretion and the ability to handle confidential and sensitive information appropriately.
- Flexibility to adapt to changing priorities and work effectively under pressure.
- A proactive and solution-focused approach to problem-solving.
- Knowledge of or interest in family services or social care would be beneficial but is not essential.
