Key Responsibilities:

  1. Event Planning and Execution: Conceptualize, plan, and coordinate events, ensuring all logistical details, timelines, and resources are well-managed to deliver seamless experiences.
  2. Budget Management: Work closely with the finance team to develop and manage event budgets, ensuring cost-effective planning while maintaining the desired event quality.
  3. Venue Coordination: Secure event venues, negotiate contracts, and manage venue logistics to optimize the event space and meet event objectives.
  4. Vendor Management: Source, negotiate with, and manage vendors, suppliers, and event partners to provide necessary services and support for successful events.
  5. Event Design and Theming: Collaborate with the creative team to develop event themes, design layouts, and enhance guest experiences through innovative event design.
  6. Guest Relations: Coordinate guest invitations, RSVPs, and guest lists, ensuring excellent communication and hospitality throughout the event.
  7. On-Site Event Management: Oversee on-site event logistics, troubleshoot issues, and ensure event flow according to the planned schedule.
  8. Health and Safety Compliance: Comply with health and safety regulations and protocols to create a safe environment for event attendees.
  9. Post-Event Evaluation: Conduct post-event evaluations, gather feedback, and analyze data to measure the success of events and identify areas for improvement.
  10. Collaboration: Collaborate closely with internal teams, including marketing, curatorial, and development, to ensure alignment in event strategies and goals.

Requirements:

  • Bachelor’s degree in Event Management, Hospitality, Marketing, or a related field.
  • Proven experience (at least 2-3 years) in event planning and execution, preferably in the arts, cultural, or hospitality industry.
  • Excellent organizational and project management skills, with the ability to multitask and prioritize competing demands in a fast-paced environment.
  • Strong attention to detail and problem-solving abilities to ensure flawless event execution.
  • Creativity and a passion for creating unique and memorable event experiences.
  • Excellent communication and interpersonal skills to work effectively with internal teams, external partners, and event attendees.
  • Proficiency in event management software and tools to streamline planning and logistics.
  • Flexibility to work irregular hours, including evenings and weekends, to accommodate event schedules.
