Job Summary

UNIVERSITÉ DU QUÉBEC EN ABITIBI-TÉMISCAMINGUE is currently seeking a detail-oriented and organized Secretary-Clerk to join our team. As a Secretary-Clerk, you will provide administrative and clerical support to ensure the efficient operation of the office. Your main responsibilities will include managing correspondence, maintaining records, organizing meetings, and assisting with various administrative tasks.


  • Greet visitors, answer phone calls, and respond to inquiries in a professional and courteous manner.
  • Manage incoming and outgoing correspondence, including emails, letters, and faxes.
  • Maintain and update office records and databases, ensuring accuracy and completeness.
  • Assist in the organization and scheduling of meetings, appointments, and events.
  • Prepare agendas, minutes, and other documentation for meetings.
  • Coordinate travel arrangements and accommodations for staff members as needed.
  • Assist in the preparation and distribution of reports, presentations, and other documents.
  • Maintain inventory and order office supplies, ensuring proper stock levels are maintained.
  • Help maintain a clean and organized office environment, including filing documents and organizing files.
  • Collaborate with other administrative staff to ensure smooth office operations.
  • Provide support in preparing and processing various administrative documents and forms.
  • Handle confidential information with discretion and maintain confidentiality.
  • Stay updated on relevant administrative policies, procedures, and regulations.
  • Perform other administrative tasks as assigned by the supervisor.


  • High school diploma or equivalent.
  • Previous experience as a secretary, administrative assistant, or in a similar role is preferred.
  • Strong organizational and time management skills.
  • Excellent verbal and written communication skills.
  • Proficiency in using office software, such as word processing, spreadsheets, and email applications.
  • Attention to detail and accuracy in handling administrative tasks.
  • Ability to multitask and prioritize tasks effectively.
  • Strong interpersonal skills and the ability to work well in a team.
  • Professionalism and the ability to maintain confidentiality.
  • Bilingualism (English and French) may be required, depending on the specific position.
