Job Summary:

MUNICIPALITE DE NOMININGUE is seeking a friendly and organized Receptionist Clerk to join our team. As a Receptionist Clerk, you will be the first point of contact for visitors and callers, providing excellent customer service and administrative support. Your professional demeanor, strong communication skills, and ability to multitask will contribute to the smooth operation of our municipality office.

Responsibilities:

  • Greet visitors and provide a warm and welcoming atmosphere.
  • Answer and direct incoming phone calls promptly and professionally.
  • Respond to inquiries from the public and provide information on municipal services, programs, and events.
  • Handle incoming and outgoing mail, including sorting, distributing, and preparing packages for shipment.
  • Maintain a clean and organized reception area, ensuring a professional and welcoming appearance.
  • Schedule appointments and maintain appointment calendars for municipal staff.
  • Assist with clerical duties, including data entry, filing, and document preparation.
  • Process payments, invoices, and receipts accurately and efficiently.
  • Assist with the coordination of meetings and events, including room bookings and preparation of materials.
  • Maintain an up-to-date knowledge of municipal policies, bylaws, and regulations.
  • Collaborate with other staff members to ensure effective communication and coordination.
  • Maintain confidentiality of sensitive information and handle inquiries with discretion.
  • Perform other administrative tasks and projects as assigned by supervisors.

Requirements:

  • Previous experience in a receptionist or customer service role is preferred.
  • Strong communication and interpersonal skills, with a professional and friendly demeanor.
  • Excellent telephone etiquette and customer service orientation.
  • Proficient computer skills, including knowledge of Microsoft Office Suite and basic office equipment.
  • Strong organizational skills and the ability to multitask in a fast-paced environment.
  • Attention to detail and accuracy in data entry and administrative tasks.
  • Bilingualism (English and French) is required.
  • Knowledge of municipal services and processes is an asset.
  • Diploma or certificate in office administration or a related field is preferred.
