Responsibilities:
- Document Management:
- Assist in the organization, maintenance, and retrieval of commercial documents, contracts, and correspondence.
- Ensure all documentation is accurately recorded and filed, adhering to company procedures and standards.
- Cost Control:
- Assist in tracking project costs, invoices, and expenses.
- Collaborate with the commercial team to maintain accurate cost reports and financial records.
- Contract Administration:
- Aid in the administration of contracts, including processing and recording contract variations and amendments.
- Assist in preparing contract documentation and liaise with relevant stakeholders to ensure compliance.
- Data Entry and Analysis:
- Input and maintain data related to commercial activities in company databases and spreadsheets.
- Conduct basic data analysis to support decision-making processes.
- Procurement Support:
- Assist in coordinating and recording procurement activities, including purchase orders and supplier information.
- Collaborate with procurement teams to ensure timely delivery of materials and services.
- Reporting:
- Assist in generating regular reports on commercial activities, highlighting key metrics and insights.
- Contribute to preparing presentations and materials for internal and external stakeholders.
- Communication:
- Communicate professionally and effectively with team members, clients, suppliers, and other stakeholders.
- Act as a point of contact for general commercial inquiries and direct queries to appropriate personnel.
Requirements:
- Educational Background: A minimum of a high school diploma or equivalent is required. Relevant vocational qualifications or certifications in administration, finance, or a related field are advantageous.
- Previous Experience: Prior experience in an administrative role, particularly within a commercial or construction environment, is desirable but not mandatory.
- Organizational Skills: Demonstrated ability to manage multiple tasks, prioritize responsibilities, and maintain attention to detail.
- Communication: Strong written and verbal communication skills to interact with diverse stakeholders effectively.
- IT Proficiency: Competency in using MS Office Suite (Word, Excel, PowerPoint) and familiarity with document management systems.
