Responsibilities:

  1. Office Support:
    • Assist with general administrative tasks such as filing, photocopying, and scanning documents.
    • Handle incoming and outgoing correspondence, including emails and phone calls, in a professional manner.
  2. Data Entry and Management:
    • Accurately input data into various systems and databases.
    • Maintain and update records, ensuring information is kept current and organized.
  3. Scheduling and Coordination:
    • Support the coordination of meetings, appointments, and events.
    • Assist in arranging travel arrangements and accommodation as needed.
  4. Document Preparation:
    • Prepare and format documents, reports, and presentations as required.
    • Assist in proofreading and editing documents to ensure accuracy and consistency.
  5. Supplies and Inventory:
    • Monitor office supplies and place orders when necessary to maintain stock levels.
    • Keep track of inventory and assist in managing office equipment and assets.
  6. Support to Teams:
    • Collaborate with various teams to provide administrative assistance and support.
    • Assist in organizing team meetings and compiling meeting minutes.
  7. Reception Duties:
    • Greet visitors and direct them to the appropriate personnel.
    • Handle incoming inquiries and provide basic information or redirect as needed.
  8. Confidentiality:
    • Maintain confidentiality of sensitive information and handle it with discretion.

Requirements:

  • Educational Background: A minimum of a high school diploma or equivalent is required. Additional qualifications or certifications in office administration or related fields are advantageous.
  • Previous Experience: Prior experience in an administrative or office support role is preferred but not mandatory. Fresh graduates with relevant educational backgrounds will also be considered.
  • Organizational Skills: Strong organizational abilities to manage tasks efficiently and meet deadlines.
  • Communication: Excellent written and verbal communication skills to interact professionally with colleagues and external stakeholders.
  • IT Proficiency: Familiarity with MS Office Suite (Word, Excel, Outlook) and basic computer skills.
