Responsibilities:
- Office Support:
- Assist with general administrative tasks such as filing, photocopying, and scanning documents.
- Handle incoming and outgoing correspondence, including emails and phone calls, in a professional manner.
- Data Entry and Management:
- Accurately input data into various systems and databases.
- Maintain and update records, ensuring information is kept current and organized.
- Scheduling and Coordination:
- Support the coordination of meetings, appointments, and events.
- Assist in arranging travel arrangements and accommodation as needed.
- Document Preparation:
- Prepare and format documents, reports, and presentations as required.
- Assist in proofreading and editing documents to ensure accuracy and consistency.
- Supplies and Inventory:
- Monitor office supplies and place orders when necessary to maintain stock levels.
- Keep track of inventory and assist in managing office equipment and assets.
- Support to Teams:
- Collaborate with various teams to provide administrative assistance and support.
- Assist in organizing team meetings and compiling meeting minutes.
- Reception Duties:
- Greet visitors and direct them to the appropriate personnel.
- Handle incoming inquiries and provide basic information or redirect as needed.
- Confidentiality:
- Maintain confidentiality of sensitive information and handle it with discretion.
Requirements:
- Educational Background: A minimum of a high school diploma or equivalent is required. Additional qualifications or certifications in office administration or related fields are advantageous.
- Previous Experience: Prior experience in an administrative or office support role is preferred but not mandatory. Fresh graduates with relevant educational backgrounds will also be considered.
- Organizational Skills: Strong organizational abilities to manage tasks efficiently and meet deadlines.
- Communication: Excellent written and verbal communication skills to interact professionally with colleagues and external stakeholders.
