Job Summary:
As an Accounts Payable Clerk, you will play a crucial role in the financial operations of our company by ensuring accurate and timely processing of payments to suppliers and vendors. Your attention to detail, organizational skills, and ability to work with numbers will contribute to maintaining financial integrity and strong vendor relationships. This role requires proficiency in accounting processes, excellent communication abilities, and the ability to work effectively in a team environment.
Responsibilities:
- Process accounts payable invoices, verifying accuracy, completeness, and adherence to company policies.
- Match invoices with purchase orders and receiving documentation to ensure proper authorization and receipt of goods or services.
- Review and reconcile vendor statements, resolving any discrepancies or outstanding issues.
- Enter and code invoices accurately into the accounting system, ensuring proper allocation to relevant expense accounts.
- Prepare and process payments to vendors, including checks, electronic transfers, and other payment methods.
- Maintain accurate and up-to-date accounts payable records, including invoices, payments, and supporting documentation.
- Respond to vendor inquiries and resolve payment-related issues in a timely and professional manner.
- Assist with month-end and year-end closing procedures, including reconciliations and reporting.
- Collaborate with internal teams, such as procurement and finance, to ensure proper documentation and compliance with purchasing and payment processes.
- Assist in maintaining vendor master data, including updating vendor information and performing periodic reviews.
- Ensure compliance with internal controls, accounting principles, and company policies.
- Stay up to date with changes in accounting regulations and best practices.
- Assist in ad-hoc financial projects and initiatives as assigned.
Requirements:
- Previous experience as an Accounts Payable Clerk or in a similar accounting role is preferred.
- Strong understanding of accounts payable processes and principles.
- Proficiency in using accounting software and Microsoft Office applications, particularly Excel.
- Excellent attention to detail and accuracy in data entry and calculations.
- Strong organizational and time management abilities.
- Excellent communication skills, both verbal and written.
- Ability to work effectively in a team environment and collaborate with cross-functional teams.
- Basic understanding of accounting principles and concepts.
- Familiarity with relevant financial regulations and compliance requirements.
- Flexibility to adapt to changing priorities and meet tight deadlines.
- High level of integrity and commitment to maintaining confidentiality.
- Knowledge of VAT (Value Added Tax) regulations and processes is a plus.
- AAT (Association of Accounting Technicians) qualification or equivalent is preferred.
