Job Summary:
As an Office Assistant for Import/Export, you will be responsible for providing administrative support, coordinating logistics, and managing documentation related to import and export activities. Your attention to detail, strong organizational skills, and ability to multitask will be instrumental in ensuring the timely and accurate processing of import/export transactions. This role requires a proactive and adaptable individual who can work effectively in a fast-paced office environment.
Responsibilities:
- Assist in preparing and processing import/export documentation, including invoices, bills of lading, and customs forms.
- Coordinate import/export shipments, ensuring timely delivery and compliance with shipping regulations.
- Track and monitor shipment schedules, providing updates to relevant stakeholders.
- Communicate with freight forwarders, customs officials, and other parties to facilitate smooth logistics operations.
- Handle general office duties, such as data entry, filing, and record-keeping.
- Assist in coordinating with internal departments to ensure the availability of goods for export and clearance for import.
- Maintain accurate and up-to-date records of import/export transactions and documentation.
- Assist in preparing reports and data analysis related to import/export activities.
- Handle inquiries and correspondence related to import/export operations.
- Assist in managing inventory and stock levels for import/export items.
- Support the import/export team in adhering to legal and regulatory requirements.
- Handle any other office assistant-related tasks or projects as assigned by supervisors.
Qualifications and Requirements:
- Bachelor’s degree or equivalent qualification in Business, Logistics, or a related field is preferred.
- Prior experience as an Office Assistant or in import/export operations is advantageous but not mandatory.
- Strong organizational and time-management skills.
- Proficiency in using Microsoft Office applications, especially Excel.
- Effective communication and interpersonal skills in English (both spoken and written).
- Ability to work in a fast-paced office environment and prioritize tasks.
- Punctual, reliable, and able to work flexible hours, if required.
- UAE residency or work permit is required for local applicants.
