Duties and Responsibilities:

  • Manage and organize office operations and procedures.
  • Handle incoming and outgoing correspondence, including emails, phone calls, and mail.
  • Greet and assist patients and visitors in a professional and friendly manner.
  • Maintain and update patient records and office files, ensuring accuracy and confidentiality.
  • Schedule and coordinate appointments, meetings, and conferences.
  • Assist with billing, invoicing, and other financial tasks as needed.
  • Order and manage office supplies and inventory.
  • Assist in the preparation of reports, presentations, and other documents.
  • Support other staff members with administrative tasks as required.
  • Ensure the office is clean, organized, and well-maintained.
  • Adhere to clinic policies and procedures, ensuring compliance with all regulations.

Education and Qualification:

  • High school diploma or equivalent; additional qualifications in office administration are a plus.
  • Minimum of 2 years of experience in an administrative or office assistant role.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Excellent communication and interpersonal skills.
  • Strong organizational and time management skills.
  • Ability to handle sensitive information with confidentiality and professionalism.
  • Fluency in English; additional languages are a plus.
