Key Responsibilities:
- Administrative Support: Provide administrative support to our clients, including handling phone calls, emails, and correspondence, scheduling appointments, and maintaining records.
- Document Management: Organize and maintain company documents, records, and files to ensure easy retrieval and compliance with legal and regulatory requirements.
- Data Entry: Accurately input data into databases and spreadsheets, ensuring data integrity and confidentiality.
- Client Interaction: Interact with clients and vendors professionally and efficiently, assisting with inquiries, requests, and follow-ups.
- Calendar Management: Assist with scheduling appointments, meetings, and conferences for clients, ensuring efficient use of time.
- Travel Arrangements: Make travel arrangements, including booking flights, accommodations, and transportation, for clients and company personnel.
- Financial Tasks: Assist with basic financial tasks, such as invoicing, expense tracking, and handling petty cash.
- Event Coordination: Help organize and coordinate company events, meetings, and training sessions.
- Ad Hoc Tasks: Handle various ad hoc tasks and projects as assigned by clients or management.
Qualifications:
- High school diploma or equivalent; additional education or certification in office administration is a plus.
- Proven experience as an administrative assistant, secretary, or similar role.
- Proficiency in MS Office Suite (Word, Excel, Outlook) and other office software.
- Excellent organizational and time management skills.
- Strong communication and interpersonal abilities.
- Attention to detail and the ability to maintain confidentiality.
- Problem-solving skills and the ability to work independently.
- Knowledge of basic accounting and bookkeeping principles is a plus.
