Job Description:
As a Receptionist at NHS Jobs in the UK, you will be responsible for providing efficient and courteous front-line services to patients, visitors, and staff. Key Responsibilities:
- Front Desk Operations: Greet and welcome patients, visitors, and staff, ensuring a friendly and professional demeanor. Provide assistance and guidance, addressing their inquiries and directing them to the appropriate departments or individuals.
- Appointment Scheduling: Manage appointment bookings, both in person and over the phone, using the electronic appointment system. Coordinate schedules, confirm appointments, and maintain accurate records.
- Telephone Management: Answer incoming phone calls promptly and professionally. Provide information, transfer calls, take messages, and handle inquiries efficiently.
- Patient Registration: Collect and accurately enter patient information into the electronic health records system. Verify patient demographics, insurance details, and relevant personal information while maintaining confidentiality and data protection.
- Patient Check-in and Check-out: Ensure a smooth patient check-in process, confirming appointments, verifying personal details, and collecting necessary paperwork. Process patient check-out, collecting fees if applicable, and scheduling follow-up appointments as required.
- Records Management: Maintain and update paper and electronic records, ensuring accuracy, organization, and adherence to data protection regulations. Retrieve and file records as needed.
- Cash Handling: Receive and process patient payments, issuing receipts and maintaining an accurate record of transactions. Reconcile cash at the end of the shift and follow cash-handling protocols.
- Reception Area Management: Maintain a clean, tidy, and organized reception area. Ensure reading materials, brochures, and information leaflets are readily available to patients and visitors.
- Communication: Liaise and communicate effectively with healthcare professionals, administrative staff, and other team members to facilitate efficient patient flow and service delivery.
- Problem-solving: Respond to and resolve complaints, concerns, and difficult situations tactfully and promptly. Escalate issues to the appropriate personnel when necessary.
- Confidentiality: Handle patient information with utmost confidentiality, adhering to data protection and privacy policies at all times.
- Administrative Support: Provide general administrative support to the healthcare team, including photocopying, filing, and managing correspondence as required.
Requirements:
- Education and Experience: A minimum of a high school diploma or equivalent. Prior experience in a customer service or receptionist role is desirable.
- Customer Service Skills: Excellent interpersonal and customer service skills, with a friendly and approachable demeanor. Ability to handle a diverse range of individuals with patience, empathy, and professionalism.
- Communication Skills: Clear and effective verbal and written communication skills. Ability to listen attentively and convey information accurately.
- Organizational Skills: Strong organizational and multitasking abilities. Capability to manage competing priorities and maintain attention to detail in a fast-paced environment.
- IT Proficiency: Competency in using computer applications such as word processing, email, and electronic health records systems. Ability to quickly learn and navigate new software programs.
