As a Receptionist at Liberty Tax Service, you will be the first point of contact for clients and visitors, providing a warm and professional welcome. You will handle a variety of administrative tasks, ensuring the smooth operation of the office and supporting the tax preparation team. Key Responsibilities
Front Desk Management
- Greet clients and visitors warmly, providing a positive first impression of Liberty Tax Service.
- Answer and direct phone calls, taking messages and providing information as needed.
- Manage the reception area, ensuring it is clean, organized, and welcoming.
Client Support
- Assist clients with inquiries, scheduling appointments, and completing necessary paperwork.
- Provide information about Liberty Tax Service’s offerings and guide clients through the tax preparation process.
- Follow up with clients to confirm appointments and ensure satisfaction.
Administrative Tasks
- Maintain and update client records, ensuring accuracy and confidentiality.
- Handle incoming and outgoing mail, including sorting and distributing correspondence.
- Manage office supplies, placing orders and maintaining inventory as needed.
Team Collaboration
- Support the tax preparation team with administrative tasks, such as filing, data entry, and document preparation.
- Coordinate meetings and events, including scheduling, preparing materials, and arranging catering.
- Assist with special projects and initiatives as required.
Compliance and Documentation
- Ensure all client interactions and administrative tasks are documented accurately and in compliance with company policies.
- Maintain up-to-date records of office activities, client communications, and appointments.
- Adhere to industry regulations and best practices in customer service and office management.
Visa and Relocation Support
- Assist international hires with visa applications, ensuring compliance with Canadian immigration requirements.
- Coordinate relocation logistics, including temporary housing and cultural orientation.
- Provide ongoing support to help new employees integrate into the team and community.
Qualifications and Experience
- Education: High school diploma or equivalent. Additional training in office administration or customer service is an asset.
- Experience: Minimum 1–2 years in a receptionist or administrative role, preferably in a customer-facing environment.
Skills:
- Strong communication, interpersonal, and organizational skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and office management software.
- Ability to multitask and prioritize tasks effectively.
- Knowledge of the tax preparation industry is a plus but not required.
Visa Eligibility:
- Eligibility for a Canadian work permit under the TFWP or Saskatchewan Immigration programs.
- Willingness to obtain necessary certifications (e.g., WHMIS, First Aid).
