The Role: Administrative Assistant

We’re seeking a highly organized and proactive Administrative Assistant to support our operations team. This role is ideal for someone with excellent communication skills, attention to detail, and a passion for providing exceptional administrative support. You’ll play a key role in ensuring the smooth functioning of our office and contributing to the success of our projects.

Visa Sponsorship:

Key Responsibilities

Office Administration

  • Manage schedules, appointments, and travel arrangements for senior staff.
  • Answer and direct phone calls, emails, and other correspondence.
  • Maintain office supplies and equipment, placing orders as needed.

Document Management

  • Prepare, format, and proofread reports, presentations, and other documents.
  • Organize and maintain filing systems, both physical and digital.
  • Ensure confidentiality and security of sensitive information.

Meeting Coordination

  • Schedule and coordinate meetings, including preparing agendas and taking minutes.
  • Arrange catering, equipment, and other logistics for meetings and events.
  • Follow up on action items and ensure timely completion.

Financial Administration

  • Assist with invoicing, expense tracking, and budget monitoring.
  • Process payroll and maintain employee records.
  • Liaise with the finance team to resolve any discrepancies.

Client & Vendor Relations

  • Serve as the first point of contact for clients and vendors, providing excellent customer service.
  • Coordinate with external partners to ensure smooth project execution.
  • Maintain positive relationships with stakeholders through professional communication.

What We’re Looking For

Essential Skills & Experience

  • Education: Post-secondary diploma or degree in business administration, office management, or a related field.
  • Experience: 2–3 years in an administrative or office support role.
  • Technical Skills: Proficiency in Microsoft Office (Word, Excel, PowerPoint) and office management software.
  • Language: Fluency in English (verbal/written).

Personal Suitability:

  • Strong organizational and multitasking abilities.
  • Excellent communication and interpersonal skills.

Desirable Qualifications

  • Experience in the technology or manufacturing sector.
  • Knowledge of accounting software (e.g., QuickBooks).
  • Multilingual skills to support Richmond’s diverse community (e.g., Mandarin, Punjabi).
