The Role: Project Administrator
We’re seeking a highly organised and proactive Project Administrator to support our project management team. This role is perfect for someone who thrives in a fast-paced environment, enjoys multitasking, and has a keen eye for detail. You’ll play a key role in ensuring the smooth execution of projects, from planning and coordination to documentation and reporting.

Key Responsibilities
Project Coordination
- Schedule and organise project meetings, including preparing agendas, taking minutes, and tracking action items.
- Maintain project calendars, ensuring deadlines and milestones are met.
- Coordinate resources, equipment, and materials for project teams.
Documentation & Reporting
- Prepare and distribute project documentation, including plans, reports, and presentations.
- Maintain accurate records of project activities, budgets, and risks using project management tools (e.g., MS Project, Trello).
- Assist in the preparation of progress reports for clients and senior management.
- Communication & Stakeholder Management
Act as the primary point of contact for project teams, clients, and external partners. - Respond to inquiries and resolve issues promptly, ensuring a high level of customer satisfaction.
- Facilitate effective communication between team members and stakeholders.
Financial Administration
- Track project expenses and process invoices, ensuring accuracy and compliance with budgets.
- Assist in the preparation of financial reports and forecasts.
- Liaise with the finance team to resolve any billing or payment issues.
Process Improvement
- Identify opportunities to streamline administrative processes and improve efficiency.
- Implement best practices for project documentation and record-keeping.
- Support the adoption of new tools and technologies to enhance project delivery.
What We’re Looking For
Essential Skills & Experience
- Experience: 2+ years in project administration, office management, or a similar role.
- Organisation: Exceptional time management and ability to prioritise multiple tasks.
- Communication: Strong written and verbal skills for liaising with diverse stakeholders.
- Tech Savvy: Proficiency in Microsoft Office (Excel, Word, PowerPoint) and project management software.
- Attention to Detail: A meticulous approach to documentation and reporting.
Desirable Qualifications
- Certification in project management (e.g., PRINCE2, Agile).
- Experience in the recruitment or professional services sector.
- Knowledge of financial administration and budgeting.
