Job Description:
The Inn at Bay Fortune, located in Canada, is currently seeking an organized and detail-oriented individual to join our team as a Catering Coordinator. As a Catering Coordinator, you will be responsible for coordinating and overseeing all aspects of our catering events, ensuring seamless execution and exceptional customer satisfaction.
Responsibilities:
- Liaise with clients to understand their event requirements, including menu preferences, guest counts, and special requests.
- Collaborate with the culinary team to create customized menus and proposals that meet the clients’ needs and budget.
- Assist in planning and organizing all logistical aspects of catering events, including venue setup, equipment rentals, and staffing.
- Coordinate with the sales team to ensure accurate and timely communication with clients regarding event details, contracts, and invoices.
- Manage and maintain event calendars, tracking bookings, availability, and important deadlines.
- Coordinate with external vendors, such as florists, decorators, and audiovisual teams, to ensure all event elements are in place.
- Prepare and distribute event orders and timelines to all staff and departments involved in the catering event.
- Oversee the setup and breakdown of event spaces, ensuring they are prepared according to client specifications and company standards.
- Monitor and address any issues or concerns during catering events, providing on-site support and ensuring guest satisfaction.
- Collaborate with the kitchen team to ensure timely and accurate food and beverage service during events.
- Assist in post-event activities, including feedback collection, financial reconciliations, and event evaluation.
- Stay updated on industry trends and best practices in catering and event planning, incorporating innovative ideas into our services.
Requirements:
- Previous experience in catering coordination or event planning is preferred.
- Strong organizational and multitasking skills to manage multiple events simultaneously.
- Excellent communication and interpersonal skills to interact with clients, vendors, and staff.
- Attention to detail and a commitment to delivering high-quality service.
- Ability to work well under pressure and in a fast-paced environment.
- Proficiency in event management software and Microsoft Office Suite.
- Flexibility to work evenings, weekends, and holidays as required.
- Knowledge of food safety and sanitation regulations.
- Second language proficiency, particularly in French, may be advantageous.
